Challenge: Confronting two distinct challenges — the need to coordinate and distribute a vast amount information to insurance subscribers and their patients, and the HIPAA requirement that the information be shielded to protect patient privacy — the client, a provider of information services to insurance companies, turned to Anderson Direct Marketing to implement a comprehensive solution. Patients needed to receive a wide variety of personalized medical information in a variety of printed formats, including presentation kits, letters, brochures, and personalized data sheets. Information security was key. Materials had to be delivered on time, to the right patients, and in accordance with patient privacy laws.

Solution: Anderson worked with the client to develop an integrated direct mail program with an exemplary degree of accuracy and confidentiality. Patient data is submitted using secure, encrypted electronic file transfer. It is then specially processed by a designated team of Anderson professionals, who have all committed to the strict confidentiality standards of this program. This team programs the information and coordinates the digital printing of personalized letters and data sheets. Informational brochures, folders, and other non-personalized pieces are printed with Anderson's offset printing and lasering equipment. All pieces are distributed with Anderson's lettershop and mailing capabilities. And because this program deals with highly confidential data, it follows Anderson's comprehensive "Security Job" process where each stage is monitored and each hand-off is reconciled.

Results: With a confidential automated data processing and print workflow program in place, the client is able to focus on increasing its customer base and helping its existing clients remain healthy and loyal. The program also received a first-place award in the "Leading Health Initiative" category at a prestigious healthcare industry conference.
